Digitalising operations · On-premise AI

Every inspection on record. Every deadline under watch.

We deploy and integrate an on-premise platform that brings inspection reports, technical documentation and equipment records together in one place. AI processes even scanned test reports and extracts the key data from them, and the system warns you well before deadlines fall due. The solution runs on a server at your site or managed by us; your data never goes to the public cloud.

Starting point

A missed deadline is not an administrative detail

At most sites, inspection records are spread across spreadsheets, emails and paper binders. As long as everything is fine, nobody deals with it. The problem surfaces during a regulatory check, an audit or an insurance claim.

  1. Deadlines are tracked by hand in spreadsheets and emails, often by several people at once.
  2. During a check, finding the documents takes hours, and nobody is sure which version is current.
  3. Missing the deadline for a periodic inspection and test can lead to a fine and, if damage occurs, to a dispute over the insurance payout.
  4. Operating equipment without a valid inspection increases the risk of injury and of personal liability.

What you get

One reliable source for all your operational records

The platform records equipment, documents and deadlines in one structure and keeps them up to date without manual retyping. The people responsible are alerted in time, management has an overview of the whole site, and during a check you can present complete records in a few clicks.

  • Central register of equipment, inspections and documentation
  • Automatic processing of inspection reports, including scans
  • Alerts before a deadline expires
  • Full change history for regulators and insurers
  • Runs on-premise, with no dependence on the public cloud

How it works

From report to alert

Every document goes through the same process. The system does most of the steps itself; checking and deciding stay with you.

  1. 01

    Digitisation

    PDF · scan · email

You upload existing inspection reports, test records and technical documentation, including scanned paper originals.

  2. 02

    Data extraction

    OCR · local AI model

A local language model recognises the document type, the equipment, the date of the inspection, the result and the deadline for the next check.

  3. 03

    Verification

    review · confirmation

The responsible person confirms the proposed data. Nothing goes into the register unless it has been checked.

  4. 04

    Deadline tracking

    notifications · escalation

The system tracks the validity of every inspection and alerts the people responsible in advance. If a deadline passes, the alert is escalated to their manager.

  5. 05

    Overview

    register · export · audit

The current status of the whole site is available at any time. Export records for management, an audit or the labour inspectorate in one click.

During roll-out we set the deadlines according to Slovak Decree No. 508/2009 Coll. on regulated technical equipment and your site's internal rules.

AI assistant

Ask your documents

The assistant works with your site's documentation: inspection reports, operating rules, occupational health and safety (OHS) training records and fire protection checks. Ask a question in an ordinary sentence and get the answer within seconds, always with a reference to the document and page it is based on.

  • Answers come only from your documents
  • Every answer cites its specific source
  • Reflects the regulations of the country where it is deployed
  • The language model runs locally, without the public cloud

Infrastructure

Computing, AI and data on dedicated hardware

The platform does not use public cloud services. Document processing, computing and the language model all run on a dedicated server that we supply, install and manage.

  1. 1ServerA dedicated server in your server room or managed by us, sized for your volume of documents and number of users.
  2. 2Data layerDatabase and document archive with regular backups and controlled access.
  3. 3ApplicationEquipment register, deadline calendar, user roles and reports in a web browser, with nothing to install for users.
  4. 4AI layerA local language model for processing and searching documents. Neither the model nor the data leaves the server.
  5. 5IntegrationsConnections to email, directory services and existing company systems as needed.

Deployment model

Choose where the system runs

A

In your infrastructure

The server sits at your site and is part of your network. Suited to organisations with strict requirements for security and data separation.

  • Data physically on your premises
  • Works even in an isolated network
  • Managed remotely or on site

B

Managed by us

The system runs on a dedicated server that we operate and maintain for you. No need to deal with hardware, updates or backups.

  • Dedicated hardware, not a shared cloud
  • We take care of updates and backups
  • Quick start with no hardware investment

Either way, your data stays out of the public cloud.

FAQ

Frequently asked questions

Do we need our own server?

No. The system can run on a dedicated server managed by us, with security managed in line with ISO/IEC 27001. If you prefer to keep it in your own infrastructure, we supply the server and install it at your site.

What happens to our existing documents?

We bring your existing inspection reports and documentation into the system during roll-out. You do not have to digitise your paper archive yourself; we can scan the documents as part of the service. Data is extracted from scans just as it is from electronic documents.

Can we rely on the AI's answers?

The answers come only from your documents, and each one includes a reference to its specific source. The language models we use are adapted to take into account the laws, standards and regulations of the country where we deploy the system. Data proposed for the register is confirmed by the responsible person before it is saved.

Who has access to the data?

The system is closed and secured. Only the users you grant access to can get in; permissions are set by role and site, and every change is logged. When the system runs in our infrastructure, we guarantee data security in line with ISO/IEC 27001 and confirm it contractually with a non-disclosure agreement (NDA).
